KaloDesk makes software that nail salons use to run their front desk — appointments, walk-ins, checkout, payroll and client messaging. This policy explains what information we collect, why, and who else touches it.
This matters, because it changes who is responsible for what.
If you are a salon using KaloDesk, we collect information about you and your business to provide the software and support it. We are the controller of that information.
If you are a client of a salon that uses KaloDesk, your information belongs to that salon. They decide what to collect and how long to keep it; we process it on their behalf. If you want your details corrected or deleted, contact the salon directly — they can do it inside KaloDesk, and we will help them if needed.
Account and billing details: business name, address, phone, email, the name of the person who signs up, and payment information for your subscription. We also keep records of support conversations so we can pick up where we left off.
Technical information from your installation: software version, database schema version, error logs, and whether features are enabled. We use this to spot broken installs before you have to call us. It does not include client records.
Salons use KaloDesk to keep the records a salon needs: name, phone number, email, appointment and visit history, service and payment records, loyalty points and gift card balances, birthdays where the salon collects them, and messaging preferences including SMS opt-in and opt-out.
Salons may also record no-show history and, where they have enabled deposits, a payment token that lets them charge an agreed fee. We never store full card numbers. Card data goes directly to our payment processor, which returns a token that stands in for the card.
Salons that use payroll features store employee records, which can include tax identification numbers. Those are encrypted at rest.
KaloDesk Local runs on a computer in your salon. Your client database stays on your hardware. We do not have access to it. The exception is online booking: your bookable menu, staff, hours and availability are published to our cloud so your booking page works when the salon computer is off, and bookings made there sync back down.
KaloDesk Cloud is hosted by us. Your full salon database — clients, appointments, transactions and payroll — is stored on servers we operate in the United States. We access it only to operate the service, investigate a problem you have reported, or where the law requires it.
We keep this list short on purpose, and we keep it current.
We do not sell your information. We do not sell your clients' information. We do not share it with advertisers, and we do not use it to train anyone's models.
Salons send messages to their own clients through KaloDesk. Clients opt in at the salon or when booking, and can stop at any time by replying STOP. Message and data rates may apply and frequency varies by salon. Phone numbers collected for messaging are not sold or shared with third parties for marketing.
kalodesk.com uses Google Analytics to understand which pages people find useful. It sets cookies and records information such as approximate location, browser, and the pages visited. You can opt out with Google's browser add-on, or block cookies in your browser — the site works fine either way. We also use Google Search Console, which reports on search performance and does not track individual visitors.
Our contact form opens your own email program. We receive whatever you choose to write.
Salon account and billing records are kept while your account is active and for seven years afterward, which is what tax and accounting rules require. Support conversations are kept for two years. Technical logs are kept for 90 days.
For client records inside a salon's database, the salon decides. If you close a Cloud account, we will provide an export and then delete your data within 30 days of your request. For Local installs, the data is on your hardware — deleting it is up to you.
Traffic is encrypted in transit. Passwords are hashed, never stored in readable form. Sensitive employee identifiers are encrypted at rest. Access to Cloud systems is limited to people who need it to do their job, and card data never touches our servers.
No system is perfect. If a breach affects your information, we will tell you promptly and tell you what we know, including what we do not yet know.
Depending on where you live, you may have the right to see what we hold about you, correct it, delete it, or receive a copy in a portable format. Email us and we will help — we do not require a formal process for a reasonable request.
If you are a salon's client, start with the salon. They control the record and can act faster than we can.
KaloDesk is business software and is not directed at children. We do not knowingly collect information from anyone under 13. A salon may have a minor's name and appointment in its records at a parent's request, which is the salon's decision to make.
If we change this policy in a way that matters, we will email account holders and update the date at the top. We will not quietly broaden how we use information you have already given us.
